Effectus collects information by various methods including information actively provided by its lead providers, its customers, and information arising from customer surveys and general feedback. We also collect information primarily through provider’s voluntary participation in research studies. We may also receive survey or medical / health information from our partners including subcontractor research companies, hospitals, physicians and clinicians.
The types of personally identifiable information we collect from our clients and research providers include name, contact information, identification information, tax information, and bank details. We may record calls to or from our providers with Effectus representatives for the purposes of accuracy, performance reviews, training, and general quality assurance. We obtain this information by the provider giving us these personally identifiable details, by the automatic collection via participation in a research study, or from third parties.
Personal health information is a combination of personally identifiable information with known health characteristics. For example, if disease or condition information is combined with an individual’s name, it becomes personal health information. Examples of personally identifiable information include name, home address, telephone number, email address, date of birth, and any other information that is linked to this identifying information.
We will use the personally identifiable information and personal health information to determine eligibility for participation. It is the research provider’s responsibility for ensuring the accuracy of the personally identifiable information and personal health information submitted to Effectus.
The information from our clients and research providers is used to aid in the provision of our various services, including customer service, accounting, billing, collections, honorarium disbursement, and the marketing of other products or services.
Effectus will only use and disclose personally identifiable data, obtained from providers and upon written consent, to follow-up with the clinical study site about pre-qualification for the study.
Effectus does not share personally identifiable information with any third parties except as disclosed in this policy.
Effectus may forward personally identifiable information and personal health information to the study site running the clinical research study of interest.
Effectus may provide personal information to subcontractors and professional advisers (which shall be bound by contractual privacy obligations) to assist with meeting our clients’ study objectives and per the uses disclosed herein.
Aggregate data, which does not contain any uniquely identifying information, will be shared with the sponsors and / or consultants of our clinical research studies.
Effectus may be required to disclose personal information in response to lawful requests by public authorities, including meeting national security or law enforcement requirements.
Personal information is stored in paper and electronic files. It is protected by security measures appropriate to the nature of the information. Upon submitting personal information, the research provider agrees to this transfer, storing and/or processing. Effectus takes what we consider to be reasonable precautions to protect personally Identifiable Information from loss, misuse and unauthorized access, disclosure, alteration and destruction. Effectus’ primary servers are located in Parsippany, New Jersey, USA and the electronic data we hold is stored and processed there.
Individuals may review their personally identifiable information contained in Effectus files by contacting our privacy officer. If an individual believes that any of their personal information is inaccurate, we will make appropriate corrections.
Participants have the right to review, change and/or modify information previously provided. Participants may also be entitled (subject to certain exceptions) to ask for access to the data Effectus holds about their data or to ask for that data to be erased. We will only maintain Personally Identifiable Information and Personal Health Information for as long as we are required to do so by applicable law(s), or for as long as necessary for the purpose(s) for which it is processed. We will delete Personally Identifiable Information and Personal Health Information when it is no longer needed and, in any case, upon the maximum storage term set forth by applicable law.
